Security & Confidentiality
Miriboa receives your entire bid package — so confidentiality is guaranteed by structure, before any contract. This page explains exactly how your documents are handled and when they are destroyed.
Scope and effect
A non-disclosure undertaking takes effect the moment you complete a verification request. It covers everything you send — bid documents, notice details, and the fact that you requested a verification at all. The full text is shown for consent at the request step; if a separately signed NDA or service agreement is later executed, its terms prevail.
Usage limits and access control
Confidential material is used solely to perform the verification you requested, and access is restricted to the person performing the verification. Processing does involve the sub-processors listed in our Privacy Policy — including the document-analysis LLM API provider — to the extent needed to perform the verification; each processes the material only to deliver its service and is bound by its own data-protection commitments. It is disclosed to no other third party. The judgment and the review are performed by the vendor directly — verification is never handed to another firm.
Retention and purge
Uploaded documents are purged within 15 days of upload — immediately on request. Result reports are kept for 12 months from the last delivery so you can retrieve them again, then purged. Contact and billing records are kept only for periods required by law.
AI processing disclosure
Document analysis uses a commercial LLM API (Anthropic, PBC, United States), whose provider does not use API inputs to train models. What is transmitted, and how it is transferred abroad, is governed by the "Service providers and international transfer" section of our Privacy Policy. The LLM proposes; a deterministic rule-based layer confirms (no person reviews the content of a verdict; depending on operational settings, an operator may approve a report before delivery) — every finding carries verbatim quotes from your documents, and findings that cannot be matched to those documents are never asserted.
Exclusions
The undertaking does not cover information that is already public, that Miriboa lawfully held beforehand, or that must be disclosed by law — in which case you are notified in advance where legally possible.
